B&B The Swiete VOF is responsible for the processing of personal data as described in this privacy policy.
What personal data we process
We process personal data that is necessary for providing our accommodation services, including:
- First and last name
- Address details
- Telephone number
- Email address
- Payment details
- Stay and reservation details
- Identification data (where legally required)
- Access data (temporary access codes and usage logs)
Purposes and legal bases for processing
We process personal data on the following legal bases:
Performance of a contract:
- Processing reservations
- Providing access to the accommodation
- Communication regarding the stay
Legal obligation:
- Tax retention obligations (7 years)
- Any municipal registration requirements
Legitimate interest:
- Security of the accommodation
- Recording access logs to prevent misuse
Reservation and payment processin
For reservations processing we use the platform Smoobu. For payment processing we use Stripe.
Smoobu processes personal data for:
- Reservation administration
- Payment processing (Stripe)
- Communication with guests
A data processing agreement has been concluded with this party in accordance with the General Data Protection Regulation (GDPR).
B&B The Swiete VOF does not store full credit card details.
Access system
For access to the accommodation, B&B The Swiete VOF uses smart locks provided by Nuki. Guests receive a temporary personal access code or digital key prior to arrival.
For security purposes, the access system may record log data such as:
- Time of activation or use of the access code
- Technical information related to access
This data is processed solely for:
- Security of the accommodation
- Prevention of misuse
- Handling incidents or disputes
The processing of this data takes place through the Nuki system. Access logs are not retained longer than necessary and, in principle, for a maximum of 30 days, unless a longer retention period is required in connection with an incident or legal dispute.
Retention periods
- Administrative data: 7 years (tax retention obligation)
- Reservation data: maximum 2 years after the stay
- Access logs: maximum 30 days unless longer retention is necessary in case of incidents
Sharing data with third parties
We share personal data with third parties only when necessary for our services, such as:
- Reservation and payment platforms
- Accounting software
- IT service providers
We do not sell personal data to third parties.
Security
We take appropriate technical and organisational measures to protect personal data against loss or unlawful processing.
Rights of data subjects
Guests have the right to:
- Access their personal data
- Rectification
- Erasure
- Restriction of processing
- Object to processing
